Send payment reminders automatically

Chasing payments by hand is slow. An automation can send a reminder before and after a due date, so customers get a nudge without anyone lifting a finger.

The pattern

Feed the workflow your invoice data (via a webhook from your accounting tool, a sheet, or your CRM), then send a template reminder. Add delay or schedule logic to send a reminder a few days before the due date and again if it passes unpaid.

Map the customer number, amount, and due date.

Branch on payment status: if still unpaid after the due date, send a follow-up.

Set up payment status alert triggers

Inside the automation, go to Payment Status Alerts → Settings and save your webhook URL there. This is where you define exactly when reminders fire.

Choose a payment status to trigger on, for example Pending, Paid, or Overdue.
Set the day offset relative to the due date: 1 means one day before, 0 means on the due date itself, -1 means one day after.
Add multiple triggers to cover different scenarios — for example, one trigger 1 day before, another on the due date, another 5 days after for overdue follow-ups.
Critical: date format is Month-Date-Year

The due date column must use MM-DD-YYYY format, not the DD-MM-YYYY format common in India. Using the wrong format silently breaks the day calculations — reminders will fire on the wrong dates without any error message.

Once triggers are configured, click Send Alerts to fire all matching reminders based on today's date against your data.
