Most WhatsApp business messages are 2–3× too long. Every unnecessary word reduces the chance the customer reads to the CTA. This guide covers optimal character counts for every WhatsApp message type — with before/after examples showing exactly what to cut and what to keep.
Message length affects open rate, full-read rate, and click-through rate differently depending on message type. Utility messages should be short and dense. Marketing messages can be slightly longer if the content earns it. This table is based on platform engagement data from Indian WhatsApp campaigns.
| Message type | Optimal length | Maximum before drop-off | Key rule |
|---|---|---|---|
| OTP / Authentication | 50–80 chars | 100 chars | Code + expiry. Nothing else. |
| Order confirmation | 100–140 chars | 180 chars | 5 key facts: order ID, item, price, delivery date, tracking CTA |
| Payment reminder | 80–120 chars | 160 chars | Amount + due date + pay link. No explanatory text needed. |
| Appointment reminder | 100–150 chars | 200 chars | Doctor + date + time + location. Add directions button. |
| Marketing offer | 120–200 chars | 280 chars | Hook + offer + CTA. Cut any line that doesn't add to conversion. |
| Re-engagement | 80–140 chars | 180 chars | Shorter re-engagement messages outperform longer ones by 28%. |
| New product launch | 140–220 chars | 300 chars | Product name + 1 key benefit + CTA. Image header replaces description text. |
| Educational / guide | 150–250 chars | 350 chars | Hook + 2–3 key points + link for full content. |
| Festive greeting + offer | 120–180 chars | 250 chars | Greeting (2 lines) + offer (1 line) + CTA. Greeting earns the offer read. |
⚠️ The 1,024 character template body limit is a ceiling, not a target. No WhatsApp business message should ever approach 1,024 characters. Messages over 400 characters see a significant full-read rate drop on mobile screens. If your message needs more than 300 characters to communicate, split it into two messages or use a link for the additional content.
💡 The editing test: after writing a WhatsApp message, delete every sentence and ask "would the message still work without this?" If yes — delete it. WhatsApp messages should contain zero redundant information. Every word either contributes to action or belongs to the next message.
