Book appointments using a WhatsApp Mini App

Instead of a text-based chatbot conversation, you can let customers book appointments through a WhatsApp Mini App — a form-like native interface that opens inside WhatsApp. The Mini App shows available dates and time slots dynamically, collected directly from your calendar event, and creates the booking when the customer submits.

Before you start

Create your calendar booking event and availability slots first. See the Set up calendar bookings guide if you have not done this yet.

Create the booking Mini App

Go to WhatsApp Mini App from the left menu and click Create New Flow.

Enter a Flow Name, choose Appointment Booking as the category, select your WhatsApp channel, and click Create Flow.

Create the first screen to collect user details: Name, Phone Number, Email, and any notes field.

Add a footer button to navigate to the next screen.

Create a Booking Date screen. Add a data source → Calendar Booking → Fetch Available Dates. Enter the Event ID from your calendar booking event URL.

Add a dropdown component and map it to show available dates dynamically from the data source.

Create a Booking Slot screen. Add a data source: Fetch Available Slots. Map the selected booking date from the previous screen to fetch only slots for that date.

Add a dropdown to display the available time slots dynamically.

Create a Final Screen. Add a data source: Create New Booking. Map all required fields: booking date, slot, name, email, phone number, and notes.

Add a confirmation display showing the user their entered details and selected date and slot.

Add a Submit button that triggers the booking creation.

Click Save and Apply, then send a test message to verify the full booking flow.
Bookings appear in the Calendar panel

Once a customer completes the Mini App and taps Submit, the booking is created automatically and appears in your Calendar Booking panel with all their details.
