Send CRM field data to an external WhatsApp number

This flow collects information from a user during a bot conversation, stores it in your CRM Super Fields, and then automatically sends that data to a second WhatsApp number — for example, forwarding a new lead to a sales rep's personal number or notifying a team number about a form submission.

Before you start

Create the Super Fields you need in CRM → Super Fields before building this flow. You also need an approved WhatsApp template that contains the variables you want to forward.

Build the flow

Go to Chatbot → Create Bot Flow and add a keyword trigger on the relevant channel.

Add an Ask a Question block to collect the user's name. Save the response to a Super Field (e.g., Chat Name).

Add another Ask a Question block to collect their phone number. Save it to a Phone Number Super Field.

Add a node → Automation App → CRM → Send Template Message.

Select the WhatsApp channel to send from.

Select the approved template you want to use for the forwarded message.

In the recipient field, enter the external WhatsApp number (the number that should receive the notification) or map it from a Super Field if it varies.

Map the template body variables to the Super Fields you collected in steps 2 and 3.

Click Run to verify the mapping, then Save.

Save the full workflow and enable it.
Using a fixed notification number

If the same number always receives the forwarded data (e.g., a sales team number), enter it directly in the recipient field as a fixed value rather than mapping a Super Field.
