Getting Started with WhatsApp Business

A step-by-step path through the platform, in order, on one page: account setup, your first template, a chatbot, Flows, CRM basics, and reading your quality score. Each module ends with a link to go deeper.

Foundations

What you're using, and how to get set up correctly the first time
Mark done
Before you start, have these ready: a dedicated number — a fresh mobile or landline that's never been on WhatsApp, or one you're ready to remove first; your GST certificate, MSME certificate, or Certificate of Incorporation, with the name matching your business exactly; and access to business.facebook.com (Meta Business Manager) for the account you'll verify. Have all three ready and Modules 1–2 take about 20 minutes end to end.

API vs the Business App

The free WhatsApp Business app is built for one person on one phone. WhatsApp Business API, what WA.Expert runs on, is built for a team: multiple agents on one shared number, chatbots, bulk messaging with approved templates, and integrations with your CRM or store. The App caps broadcasts at 256 contacts and has no automation; the API has neither limit, but needs a platform like WA.Expert on top to actually use it.

How to tell which you need: more than one person replies, you want any automation, or you send more than a handful of broadcasts a month, you need the API.
What's possible once you're set up
48 real businesses have already built on this: bots that cut support tickets 68%, campaigns that book 340 site visits in 48 hours, automations that save ₹8L a month.
See all 48 real use cases →

Full comparison: API vs App, side by side.

What this actually costs

Two separate charges: a flat ₹599/month platform fee, and Meta's per-message rate depending on template type — ₹0.99 for Marketing, ₹0.12 for Utility, ₹0.12 for Authentication templates (WA.Expert adds zero markup on Meta's rates). Replying to a customer within 24 hours of their last message is free — no template or per-message charge applies.

Full breakdown: the API Pricing Guide.

Register your number

Pick a dedicated number, a fresh mobile or landline, not your personal WhatsApp. If it's ever been on WhatsApp before, delete that account and wait two hours before registering here.

Set two-factor authentication

Already have a number live on the regular app and want to keep using both? See registering a co-existing number. Migrating a number that's already active elsewhere? See the 3-part migration walkthrough. Full guide: the phone number setup guide.

Business verification

Complete Meta Business Verification with a GST certificate, MSME certificate, or Certificate of Incorporation, matching your legal business name exactly on business.facebook.com. This is the step Meta checks before your account can send messages at scale.

There's no dedicated walkthrough video for this specific step yet, most businesses complete it in 10-15 minutes with the document ready. If you want the green (now blue) verified badge on top of basic verification, see applying for the verified badge.

Your first template

Any message outside an active 24-hour reply window needs an approved template. Three categories: Marketing (promotions, highest rate), Utility (order updates, cheaper), Authentication (OTPs, cheapest, fixed format).

The one rule that matters most: if a customer messaged you in the last 24 hours, you can reply with anything — free text, images, buttons, no template needed, no charge. If it's been more than 24 hours since their last message, or you're messaging first, you need an approved template, and Meta charges per message. This single rule decides almost every "why can't I just send this?" question later in the course.
Example utility template: "Hi {{1}}, your order {{2}} has shipped and will arrive by {{3}}." Correctly Utility since it's transactional, so it's approved faster and costs less.

You're done with this part when: your number is registered with 2FA on, your business is verified in Meta Business Manager, and you have at least one approved template.

Bots & AI

From simple flows to AI agents that answer in your own words, and voice
Mark done

Your first chatbot

The bot builder is drag-and-drop: triggers (a keyword, a button tap, any new message) connect to message blocks, question blocks that capture a reply into a field, and routing logic. No code required.

  • Start with one trigger, like the word "hi" or any inbound message.
  • Add a greeting, then a question block asking what the customer needs.
  • Route based on the answer, one path to a human, one to an FAQ.
  • Test on your own number before going live.

Building blocks worth knowing once the basics click: Ask a Question, trigger types, button payloads, and the GoTo block for looping logic.

AI-powered bots

Beyond fixed flows, an AI agent can answer in its own words, trained on your documents and data. Create the agent, train it, then test it before connecting it to a live chatbot.

Voice AI

The newest layer: an AI agent that can take a WhatsApp voice call, not just text. Useful for customers who'd rather talk than type, especially for support or booking flows.

Mini Apps & Flows

Structured forms that open and complete right inside the chat
Mark done

What Mini Apps are, and when to use one

Mini Apps, what Meta calls WhatsApp Flows, are forms that open and complete entirely inside the chat: dropdowns, date pickers, and text fields, no website redirect. Use one when a plain back-and-forth would take too many messages, like booking an appointment or collecting a structured order.

When to use a Flow instead of a chatbot question: more than 2-3 pieces of structured data to collect, or a date picker/dropdown genuinely helps.

Going further: logic and dynamic data

Once the basics work, Flows can get smarter: conditional fields that show or hide based on earlier answers, and dropdowns populated live from an API rather than a fixed list.

CRM & Team Inbox

Where every contact and conversation lives, for your whole team
Mark done

Contacts, tags, and segments

Every contact who messages you lands in the CRM automatically. From there, add Super Fields (custom fields like order value or plan tier), apply tags, and build segments, saved filters that stay current as contacts move in and out.

  • Super Fields are custom fields you add to a contact, order value, city, plan tier, anything you need to filter or personalise by.
  • Tags are quick, flexible labels, like "VIP" or "follow-up."
  • Segments are saved filters built on custom fields, useful for targeting a campaign.

Team Inbox and departments

The Team Inbox is the shared view where your whole team answers conversations from one place, instead of everyone checking their own phone. Once you have more than a couple of agents, departments and canned replies keep things organised and fast.

Automations & Webhooks

Background workflows that run without a human watching
Mark done

Your first automation

The automation builder connects triggers to actions: a webhook fires, a form is submitted, a date arrives, and a workflow runs, sending messages, updating a datastore, or waiting and following up, entirely on autopilot once set up.

Ready-made automations worth copying

Real-time alerts via webhooks

Broadcast Campaigns

Bulk sends that convert, without feeling like spam
Mark done
Before you send your first broadcast: get consent first. Only message people who've opted in — replied to you, filled a form, or ticked a WhatsApp consent box at signup. Marketing messages to people who never opted in are the fastest way to tank your quality score (see Module 9). A simple rule: if you can't point to how someone opted in, don't add them to the list. More detail: the DPDP consent & opt-in guide.

Sending your first campaign

A broadcast sends an approved template to a list of contacts at once. The best ones are targeted, timely, and give the reader an obvious next action, not a generic blast.

Rocket Campaign: fast bulk sends

Rocket Campaign distributes a bulk send across multiple upgraded channels to multiply sending speed, useful for flash sales or time-sensitive broadcasts where a normal campaign would take too long to land.

Overview and enable Rocket Campaign

Timing it right: seasonal campaigns

The same campaign lands very differently depending on when it goes out. A renewal reminder during a gym's slow month, a festive offer during Diwali, a last-minute Tuesday push, timing is often the difference between a campaign that converts and one that gets ignored.

Real result
A gym's membership renewal rate rose from 41% to 71% with a well-timed WhatsApp sequence, and a restaurant filled 90% of tables on slow Mondays with a same-day offer.

Staying Healthy

Quality score, messaging limits, and fixing things when they break
Mark done

Quality score and messaging tiers

Meta scores every number green, yellow, or red based on how customers react, mainly blocks and spam reports. Your score affects your messaging tier, how many unique users you can message per day.

What tanks a score fastest: marketing messages to contacts who never opted in, and messaging the same people too often in a short window.

Most Low ratings recover to Medium within about 7 days of clean sending. Full detail: the Quality Score Guide and the Messaging Limits Guide.

When something breaks

The most common issues, a bot not triggering, a number stuck on Pending, hitting the phone-number limit, or a template getting restricted, all have known, fast fixes.
